Senior Executive Assistant | Kansas City

Reports To:  Vice President of Operations

Position Summary:  This role delivers a high level of professional administrative support to ensure operations remain organized, efficient, and seamless. The Senior Executive Assistant exercises strong leadership and collaboration skills to partner effectively with management, staff, and clients in advancing the organization’s strategic objectives. The position requires exceptional discretion and sound judgment in handling confidential, sensitive, and time‑critical information.

Basic Function:  Assist and serve as a direct extension of the Vice President of Operations by managing daily activities and supporting key business needs. Provide comprehensive administrative and operational support to the Property Management, Accounting, and Operations departments. Coordinate corporate and departmental meetings and events to ensure seamless execution. Communicate professionally with clients and vendors to maintain strong relationships and ensure consistent service delivery.

Experience/Education:  Associate or Bachelor’s Degree with 5 years’ experience in business operations or administrative support

Specific Skills Required:  Proficient in the Microsoft Office Suite, with strong multitasking and problem‑solving abilities in a fast‑paced environment. Demonstrates proactive, intuitive, and professional judgment in all situations, maintaining exceptional attention to detail at every level. Highly flexible and self‑motivated, with a strong willingness to take initiative, work independently, and exercise discretion and sound judgment with minimal supervision. Possesses excellent interpersonal and communication skills, including advanced proofreading and editing capabilities. Experienced in design platforms such as Canva, and able to quickly learn and adapt to industry‑specific software applications.

Essential Job Functions:

  • Provide comprehensive administrative support to the Vice President of Operations.
  • Support core business functions across Property Management, Accounting, Human Resources and IT, through coordination, documentation, and project assistance.
  • Promote operational efficiencies and excellence while upholding positive, collaborative environment.

Basic Function:  Work with Fortune 500 clients as well as other national and regional clients of Newmark Zimmer to manage all aspects of the corporate real estate process.

Experience/Education:  5-7 years real estate industry experience.  MBA or Master of Real Estate degree preferred with a strong record of academic achievement.

Specific Skills Desired:  Demonstrated experience in financial analysis and modeling with strong analytical capabilities. Advanced proficiency in Microsoft Office Suite, particularly Microsoft Excel. Exceptional verbal and written communication skills with a high degree of attention to detail. Proven commitment to delivering superior client service with professionalism. Willingness and ability to travel up to 25%.

  • As directed, manage all aspects of the corporate real estate process defining space requirements, site selections, negotiations, document preparations, excess space dispositions throughout the Americas region.
  • Work with Americas Project Management to analyze and develop tenant improvement requirements and costs.
  • Evaluate real estate alternatives (lease vs. buy, sale/leaseback, build-to-suit) and recommend the most cost-effective solution.
  • Lead internal support functions and external service partners to ensure that all parties are meeting their schedule responsibilities and following SOPs.
  • Interface with governmental entities involving zoning, permitting and tax issues.
  • Identify and contribute cost saving opportunities for all project activities on a regular basis.
  • Communicate frequently with all levels of the project teams, customers, and management.
